Your data is stored securely in a password-protected database hosted on a private server. Access is restricted to authorised KOKI Sport personnel only. We use industry-standard security measures, including:

  • Hashed credentials for admin authentication;
  • Rate-limited API endpoints to prevent abuse;
  • HttpOnly, Secure JWT cookies for admin sessions.

No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee its absolute security.

6. How Long We Keep Your Data

We retain contact form submissions for a period of 24 months from the date of submission, after which they are deleted unless we have an ongoing relationship with you or are required by law to retain them longer.

7. Sharing Your Data

We do not share your personal data with third parties except in the following circumstances:

  • Email delivery — We use a third-party SMTP provider (Gmail / Google) to deliver email notifications internally. Google’s Privacy Policy applies to messages processed through their systems.
  • Legal requirement — We may disclose your data if required to do so by law or in response to valid requests by public authorities.

8. Cookies

This Site uses only a session cookie (“koki_admin_token”) for the purposes of authenticating admin users. This cookie is HttpOnly and is not accessible to JavaScript. No tracking or analytics cookies are set for regular visitors.

If we add analytics or marketing cookies in the future, we will update this policy and, where required by law, seek your consent before setting them.

9. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access — the right to request a copy of the data we hold about you;
  • Rectification — the right to request that we correct inaccurate data;
  • Erasure — the right to request deletion of your data (subject to our legal obligations);
